Welcome to the complete guide for the Deal TOP app. This document walks you step by step through discovering and mastering all the features of the mobile CRM built for field sales reps.

Getting started

Learn how to create your account, configure your profile and navigate the Deal TOP app.

🔐 Create an account

Deal TOP offers two quick sign-up methods:

Download the app from the App Store or the Google Play Store.
Tap "Create an account" on the welcome screen.
Choose your method: sign up by email (enter your email and create a password) or Google sign-in (one tap).
Confirm your email if you signed up the standard way (check your spam folder).
💡
Tip: Google sign-in is faster and means you don't have to remember another password.

📋 Complete the onboarding

After creating your account, an onboarding process guides you:

Enter your first name and last name.
Add your business phone number.
Select your sales profile (automotive, real estate, energy, insurance, telecom, etc.). This customizes your sales scripts and AI.
Set your monthly target (number of sales or revenue). This enables progress tracking.

📱 Navigate the app

The app is organized around a navigation menu at the bottom of the screen with 6 main tabs:

  • 🏠 Home - Dashboard with KPIs, badges, scripts and focus of the day
  • 🚀 Pipeline - View your deals by sales stage
  • 👥 Contacts - Directory of all your prospects and clients
  • 📅 Calendar - Schedule of your appointments
  • 🔔 Follow-ups - List of your planned follow-ups
  • 📈 Stats - Detailed statistics of your performance

Dashboard

Your home screen centralizes all the essential information to manage your sales activity day to day.

📈 Understanding the KPIs

At the top of the dashboard, three key indicators give you an instant view:

  • Sales - Number of deals signed in the period
  • Lost - Number of deals lost
  • Revenue - Total revenue generated

These KPIs update in real time with every change to your deals.

📋 Weekly report

Each week, Deal TOP automatically generates a performance report summarizing your activity: number of contacts created, deals advanced, follow-ups completed and revenue generated. This report is available directly from the home screen.

🏆 Badges and gamification

The badge system motivates you and rewards your efforts:

  • Activity badges - Unlocked based on your number of contacts, calls, follow-ups
  • Performance badges - Tied to your sales results
  • Consistency badges - Reward your daily use

Each unlocked badge plays an animation and is visible on your profile.

💬 Sales scripts

From the home screen, direct access to sales scripts tailored to your sales profile. Use the search bar to quickly find a script by keyword, situation or customer objection.

🎯 Focus of the day

The Focus of the day shows you the priority for today: urgent follow-ups, important appointments or deals to close. It is generated automatically by AI based on your pipeline and deadlines.

Pipeline

The visual pipeline lets you track every deal across the different stages of the sales cycle.

Your pipeline is broken down into 6 stages:

Each deal moves from one stage to the next as your sales progress.

👉 Move a deal

To advance a deal through the pipeline:

Open the relevant contact card.
In the Tracking tab, tap the deal's current status.
Select the desired new stage.
The deal is automatically moved within the pipeline.

🔎 Filter by stage

At the top of the Pipeline screen, filters by stage let you display only the deals in a given stage. Tap a stage to filter, tap it again to display all deals.

Contacts

Manage all your prospects and clients from a centralized, intelligent directory.

Add a contact manually

Tap the "+" button at the top of the Contacts screen.
Fill in the information: last name, first name, phone, email, address.
Optionally add a note and a deal amount.
Tap "Save". The contact is automatically placed in the "Prospect" stage of the pipeline.

📖 Import from your phone directory

Save time by importing contacts directly from your phone directory:

Tap the "Import" icon at the top of the Contacts screen.
Grant access to your directory if requested.
Select the contacts to import.
Contacts are created with the available information (name, phone).

✏️ Edit a card & Photo

Each contact card can be edited at any time. Tap the contact to open its card, then tap "Edit" to update the information.

You can add a contact photo by tapping the avatar. Choose between taking a photo or selecting one from the gallery.

📍 Geolocation map

If the contact's address is filled in, an interactive map appears on the card, letting you view their location and start GPS navigation with a single tap.

From the global map, you can see all your geolocated contacts and start a route to any of them. See the Map & Routes section for more details.

Detailed customer card

The customer card is the heart of Deal TOP. It centralizes absolutely all information and actions linked to a contact.

📋 Tracking tab

The main tab of the card. You'll find:

  • Deal status in the pipeline (editable in one tap)
  • Planned follow-ups for this contact
  • Memo - Quick notes and comments
  • Documents - Files linked to the deal

📞 Info tab

All the contact's details:

  • Phone (tap to call directly)
  • Email (tap to send an email)
  • Address with location map
  • Additional information

🚗 Auto tab

For automotive sales reps, this tab lets you store the customer's vehicle data:

  • Current vehicle (make, model, year, mileage)
  • Vehicle being searched
  • Budget and preferences

This tab is only visible for "Automotive" profiles. It automatically adapts to your specialty.

💰 Finance tab

Manage the financial aspects of the deal:

  • Deal amount
  • Financing type (cash, credit, leasing)
  • Credit details (amount, term, monthly payment)
  • Down payment

🕐 History tab

Find the complete timeline of all interactions with the contact: calls, emails, SMS, appointments, notes, status changes. Each event is dated and detailed.

Quick actions

At the bottom of the card, a quick actions bar gives you one-tap access to:

  • 📞 Call - Start a phone call
  • 📧 Email - Open the email composer (with AI writing)
  • 💬 SMS - Send an SMS (with AI writing)
  • 📅 Appointment - Schedule a meeting
  • 📝 Note - Add a quick note
  • 🔔 Follow-up - Schedule a follow-up

🎤 Voice notes

Record voice notes directly from the customer card:

Tap the microphone icon in the quick actions.
Record your voice message.
The recording is saved automatically on the card.
You can listen to, rename or delete each voice note.

📎 Documents

Attach files to each contact: quotes, contracts, supporting documents, vehicle photos, etc.

  • Add - Select a file from your phone
  • Download - Retrieve an existing document
  • Delete - Remove an outdated document

🤖 AI Assistant

The AI assistant built into every customer card offers 6 powerful functions:

  • 📧 Automatic email writing, personalized
  • 💬 Automatic SMS writing, context-aware
  • 🎯 Closing prediction - Estimate of the probability of signing
  • 💡 Sales coaching - Personalized advice to move the deal forward
  • 🚀 Action suggestions - Recommended next steps
  • Automatic qualification - Analysis of the prospect's potential

The AI improves over time. The more data you add to the customer card, the more relevant and personalized the suggestions will be.

Follow-ups

Never leave another prospect without follow-up. The follow-up system reminds you exactly when and who to follow up with.

Create a follow-up

From the customer card, tap the "Follow-up" quick action.
Select the date and time of the follow-up.
Choose the follow-up type (call, email, SMS, visit).
Set the priority (low, normal, high, urgent).
Add an optional note to remind yourself of the context.

Follow-up types:

  • 📞 Phone call
  • 📧 Email
  • 💬 SMS
  • 📍 On-site visit

Priority levels:

  • Low - Courtesy follow-up
  • Normal - Standard follow-up
  • High - Advanced deal, important action
  • Urgent - Critical action required

Mark as done

Once your follow-up is complete, check it off as done with a single tap. It will be moved to the contact's history and you won't be notified about it anymore. Overdue follow-ups are flagged in red.

Calendar

Organize your appointments and view your schedule directly in the app.

Create an appointment

From the Calendar tab or the customer card, tap "+".
Select the relevant contact.
Choose the date, start time and end time.
Add a title and an optional description.
Save. The appointment appears in your calendar and on the contact's card.

📅 Calendar view

The calendar offers a monthly calendar view with days containing appointments highlighted. Tap a day to view the list of appointments. Each appointment shows the contact's name, the time and the event type.

Sales scripts

Access a library of over 200 sales scripts tailored to your sales specialty.

🔍 Search for a script

Scripts are accessible from the dashboard or the menu. Use the search bar to quickly find a script by:

  • Keyword (e.g. "price", "competitor", "hesitation")
  • Situation (e.g. "first contact", "follow-up", "negotiation")
  • Customer objection (e.g. "too expensive", "I'll think about it")

💡 Key phrases and objections

Each script contains:

  • The context - When to use this script
  • The opening line - How to start the conversation
  • The key arguments - Strengths to highlight
  • Responses to objections - How to bounce back when faced with hesitation
  • The closing line - How to conclude positively

Scripts cover all sales specialties:

Analyze your sales performance in detail with clear charts and meaningful indicators.

📊 Understanding the charts

The Statistics screen offers several views:

  • Sales chart - Monthly evolution of your signatures
  • Pipeline breakdown - Number of deals per stage
  • Conversion rate - Percentage of prospects converted into clients
  • Revenue by period - Revenue per week/month

🎯 Target and progress

A visual progress bar shows you where you stand against your monthly target. The indicator updates in real time with each signed sale. The target can be edited in the settings.

🤖 AI analysis

AI analyzes your data and generates personalized insights:

  • Identification of your strengths and areas for improvement
  • Prediction of your end-of-month result
  • Comparison with your past performance
  • Concrete action recommendations

Settings

Customize the app to your needs and manage your account.

💼 Sales profile

Change your sales specialty at any time. This automatically adapts the sales scripts, AI suggestions and certain tabs of the customer card (such as the Auto tab for the automotive profile).

🎯 Monthly target

Edit your monthly target (number of sales or revenue). The target is used for the progress bar in the statistics and for AI coaching.

🌐 Language

Deal TOP is available in French and English. Language changes apply immediately across the entire interface.

🔔 Notifications

Manage your notification preferences:

  • Follow-up reminders
  • Appointment reminders
  • Team notifications
  • AI alerts (suggestions, predictions)

💳 My subscription

View your current plan, renewal date and manage your subscription. Deal TOP offers a 7-day free trial followed by a weekly subscription.

👥 Team

From the settings, access team management:

  • Create a team (requires a manager activation code)
  • Join a team with an invitation code
  • View members and leaderboard

Artificial intelligence

Deal TOP integrates advanced AI that supports you at every stage of your sales process.

💬 Sales assistant

The AI assistant is accessible from every customer card. It analyzes the deal's context (history, customer data, pipeline stage) to provide personalized real-time advice.

📧 Automatic email/SMS writing

The AI automatically writes professional emails and SMS adapted to the context:

  • Initial outreach
  • Follow-up after an appointment
  • Follow-up after silence
  • Sales proposal
  • Thank-you after signing

Each message is personalized with the contact's data and can be edited before sending.

📈 Closing prediction

For each deal, the AI calculates a closing probability based on the prospect's data, the time in the pipeline, interactions and observed conversion patterns. The more data you add to the card, the more reliable the prediction.

🎓 AI coaching

The AI acts as a personal sales coach. It analyzes your activity and gives you concrete advice to improve your results: sales techniques to favor, mistakes to avoid, optimal moments to follow up.

💡 Action suggestions

For each contact, the AI suggests the best next actions: which contact to prioritize for follow-up, what type of message to send, and when. These suggestions appear in the Focus of the day and on every customer card.

Automatic qualification

The AI automatically evaluates the quality of each prospect by analyzing available data (card completeness, interactions, responsiveness). A qualification score helps you prioritize your efforts on the most promising deals.

Map & Routes

View all your clients on an interactive map, launch a GPS route and plan sales routes optimized by distance.

🗺 Client map

From the home screen, tap the Map icon to display all your geolocated contacts. Each contact is shown as a colored marker based on their temperature:

  • Red — Hot client
  • Orange — Warm client
  • Blue — Cold client

Tap a marker to see the name, company, pipeline stage and deal value. The contact's initials are displayed directly on the marker.

Tip: Fill in your contacts' addresses so they appear on the map. The more complete your cards, the more useful the map!

🚗 Start a route

Tap a client's bubble on the map, then select "Route". A menu appears to choose your GPS app:

  • Apple Maps (iOS only)
  • Google Maps
  • Waze

The selected app opens with the destination pre-filled and GPS guidance starts immediately.

📋 Nearby clients

Tap the green "Route" button at the bottom right of the map. A sliding panel opens with a list of all your clients sorted by distance (from nearest to farthest).

For each client, you see:

  • Their proximity rank (1, 2, 3...)
  • Their color dot (temperature)
  • Their name and company
  • The distance in meters or kilometers

Tap a client in the list to start the GPS route directly to their location.

🚀 Plan a route

At the bottom of the "Nearby clients" panel, tap the "Plan route" button. Deal TOP automatically creates an optimized multi-stop route with your 10 nearest clients.

Tap the green "Route" button on the map.
Check the list of clients sorted by proximity.
Tap "Plan route (X clients)".
Choose Google Maps or Waze.
The GPS app opens with all stops pre-configured.

Ideal for field routes: Before going out prospecting, open the map, review your nearby clients and launch an optimized route. You'll save time and fuel!

👥 Team location

If you are a manager, the map also shows the position of your team members in real time. Team markers are displayed in distinct colors:

  • Purple — Manager
  • Green — Team member

Each team marker shows the member's initials and the time of their last position update.

Collaborate with your sales team and compare your performance.

🔑 Get an activation code

To create a team, the manager must first contact Deal TOP to get a special activation code. This code is required to unlock the management features.

Contact contact@dealtop.fr or use the contact form on the website to get your manager activation code.

👥 Create a team

Go to Settings > Team.
Tap "Create a team".
Enter your manager activation code.
Give your team a name.
An invitation code is generated automatically for your sales reps.

🔗 Share the code

Share the invitation code or invitation link with your sales reps. They can join the team from Settings > Team > Join a team.

🏆 Members and leaderboard

Once the team is created, you can:

  • View the list of members and their statistics
  • Check the leaderboard based on performance
  • Set the stats visibility (can each member see the others' stats?)

💻 Manager web dashboard

As a manager, you have access to a full web dashboard at admin.dealtop.fr/manager. This dashboard offers a complete overview of your team with advanced management and analysis tools.
